Glenridge Community HOA ("we," "us," or "our") operates the website at glenridgecommunity.com (the "Site") for the residents of the Glenridge Community in Winston-Salem, North Carolina. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Information you provide to us
- Account information: name, email address, home address, phone number, and password when you register as a member.
- Directory information: household members, children, pets, social media handles, and photos that you choose to share in the resident directory.
- Communications preferences: opt-in/opt-out status for email newsletters and SMS notifications.
- Pool & gate access: entry credentials (RFID, NFC, mobile passes), check-in records, and entry-type assignments associated with your household.
- Event & engagement data: RSVPs, contact-form submissions, and similar interactions.
Information collected automatically
- Session data: a session cookie used to keep you logged in.
- Server logs: IP address, browser type, pages visited, and timestamps for security and troubleshooting.
- Email engagement: opens, clicks, and bounces for newsletters we send.
Information from third parties
If you sign in with Google or Facebook, we receive your name, email address, and a unique provider ID from that service. We do not receive your password.
2. How We Use Your Information
- Provide, maintain, and secure the Site and member services.
- Authenticate you and manage your account.
- Operate the resident directory, events calendar, newsletter, and pool/gate access systems.
- Send transactional emails (account approvals, password resets, RSVPs) and, with your consent, community newsletters and SMS notifications.
- Respond to inquiries and contact-form submissions.
- Comply with legal obligations and enforce our terms.
3. How We Share Your Information
We do not sell your personal information. We share information only as follows:
- Within the community: directory information you choose to share is visible to other authenticated, approved residents.
- Service providers: our email provider (e.g., Gmail/SMTP), SMS provider (Twilio), and hosting provider (Hostinger) process data on our behalf.
- HOA administrators: board members and authorized administrators may access account information to operate the community.
- Legal: when required by law, subpoena, or to protect the rights, safety, or property of the HOA or its residents.
4. Cookies
We use a single session cookie to keep you signed in. We do not use third-party advertising or tracking cookies. You can disable cookies in your browser, but parts of the Site (such as members-only areas) will not function.
5. Data Retention
We retain account and directory information for as long as you remain a resident-member, plus a reasonable period afterward for record-keeping. Pool check-in logs are retained for HOA management purposes. You may request deletion at any time (see Section 7).
6. Security
We protect your information using industry-standard practices including HTTPS encryption, hashed passwords (bcrypt), session-based authentication, and access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your Rights & Choices
- Access & update: view and edit your profile and directory information from your member account.
- Email opt-out: use the unsubscribe link in any newsletter.
- SMS opt-out: reply STOP to any text message or use the unsubscribe link.
- Account deletion: contact us at the address below to request deletion of your account.
- OAuth disconnection: revoke access to your Google or Facebook account at any time through that provider.
8. Children
The Site is intended for adult residents. Children may appear in directory information only when added by their parent or legal guardian, who is responsible for that information.
9. Third-Party Links
The Site may link to third-party sites (e.g., Google Maps, Facebook). We are not responsible for the privacy practices of those sites.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date above will reflect the most recent changes. Continued use of the Site after changes constitutes acceptance of the revised policy.
